Airtable Ad Swipe File: How to Build One for Meta Ads

An Airtable ad swipe file is a single table where every saved Meta ad is one record, with fields for the advertiser, start date, format, hook, angle, CTA, landing page, the creative file and tags. Set it up once with the right field types and views, and you can filter hundreds of Facebook and Instagram ads by angle or hook in seconds.

This guide walks through the base structure, the fields worth tracking, the views that earn their place, how to import ads from a CSV, and where video files should actually live.

Why use Airtable for an ad swipe file?

Airtable sits between a spreadsheet and a database. That middle ground suits a swipe file well.

A spreadsheet handles text but is poor at showing creatives. A pure visual board shows creatives but is poor at filtering. Airtable does both: every record can hold an attachment, and every field can be filtered, sorted and grouped.

The bigger reason is structure. Single select fields force consistent tags, so "UGC", "ugc" and "user generated" never end up as three different values. That consistency is what makes a swipe file searchable a year later.

How should you structure the base?

Keep it simpler than you think. One base, two or three tables.

  • Ads (the main table). One record per saved ad.
  • Advertisers. One record per brand you track, linked from Ads. Holds notes like their price point, main offer and Facebook page link.
  • Briefs (optional). One record per brief you write, linked to the ads it references.

Linking Ads to Advertisers means you can open a competitor and see every ad you have saved from them, without retyping the brand name on each record. Linking Briefs to Ads means you can always trace a new concept back to the references that inspired it.

Resist adding a table per competitor or per campaign. That splits your data and breaks filtering across the whole collection.

What fields should an Airtable ad swipe file have?

These are the fields I would start with. Use the field type in the second column, because the type decides what you can filter and group by later.

FieldAirtable field typeWhy it matters
Ad nameSingle line textShort label, e.g. "Brand, hook, month"
AdvertiserLink to Advertisers tableSee every ad from one brand
Start dateDate"Started running on" from the Ad Library, your longevity signal
Days runningFormulaDays between start date and today, or the date it stopped
FormatSingle selectVideo, image, carousel
HookLong textThe first line or the first three seconds, written out
Hook typeSingle selectQuestion, bold claim, problem, demo, testimonial
AngleSingle selectPrice, problem, social proof, founder story, comparison
CTASingle selectShop now, Learn more, Sign up, and so on
Primary textLong textFull ad copy, searchable
Landing pageURLWhere the ad sends traffic
Ad Library linkURLJump back to the original
CreativeAttachmentImage, video or thumbnail
TagsMultiple selectAnything else: season, offer, product line
Why savedLong textOne sentence of your own judgement

The two fields people skip are the ones that matter most: Days running and Why saved.

Days running is the closest public signal to performance. The Meta Ad Library does not show spend or results for normal commercial ads, but advertisers keep paying only for ads that work, so an ad running for months is usually a winner.

Why saved is your own thinking. Without it, a swipe file turns into a pile of ads you no longer remember the point of.

Which views should you set up?

Views are where Airtable pays off. You can create as many as you like on one table without duplicating data. Four are enough to start.

  1. Grid: To tag. Filter to records where Angle is empty. This is your inbox. Work through it after each import.
  2. Gallery: All creatives. Show the Creative attachment as the cover, with Advertiser, Angle and Days running beneath. This is the view you browse for ideas.
  3. Kanban: By angle. Group by the Angle field. One column per angle, cards stacked underneath. Columns that are packed show crowded angles; thin columns show gaps your brand could own.
  4. Grid: Long runners. Filter Days running above a threshold you choose, sorted longest first. These are the ads worth studying closely.

If you brief a team, add a filtered view per brand or product and share that view rather than the whole base. For more on tagging systems in general, see our guide to organizing a swipe file.

How do you import a CSV of ads into Airtable?

Typing ads in one by one is where most swipe files die. Import in bulk instead.

Airtable can create a new table from a CSV file, and it offers a way to import CSV rows into an existing table as well. The exact menu labels have moved around over time, so look for the import option in the add or create menu, or the CSV import extension, rather than following a click path from an old tutorial.

The process that works:

  1. Get a CSV of ads. Our free extension, the Meta Ad Library Downloader, exports a CSV of every ad alongside the downloaded files when you save a whole Ad Library search, with files named by advertiser and date.
  2. Clean the columns first. Rename CSV headers to match your Airtable field names, and delete columns you will not use.
  3. Map fields on import. Point each CSV column at the right field. Dates should map to the Date field and links to URL fields.
  4. Leave judgement fields empty. Angle, Hook type and Why saved are yours to fill in. Imported records land in your "To tag" view.
  5. De-duplicate. If you import the same advertiser twice, sort by Ad Library link or ad name and remove repeats.

Should video files live in attachments or in cloud storage?

It depends on the size of your library.

Attachments work well for images and a modest number of videos. The creative sits right on the record, shows in gallery view and plays without leaving Airtable. For a small team saving a handful of ads a week, this is the simplest setup.

Cloud storage works better for large video libraries. Meta video ads in original HD add up quickly, and attachment storage on Airtable is limited by plan. Many teams keep the files in Google Drive, Dropbox or similar, and store two things in Airtable instead:

  • A URL field pointing to the file in storage.
  • A thumbnail in the attachment field, so gallery view still shows the creative.

Whichever you choose, download the ads you care about. A link to the Ad Library alone is not enough, because outside the EU an ad drops out of view once the advertiser pauses it. Our guide on how to download Facebook Ad Library videos covers the options.

How does Airtable compare with Notion for a swipe file?

Both work. They suit different habits.

Airtable is stronger on structured filtering, grouping, formulas like Days running and bulk CSV import. Notion is stronger when you want saved ads to sit next to longer written notes, briefs and team documents in one workspace.

If your swipe file is mostly a searchable database, Airtable fits. If it is mostly a writing and briefing space with ads embedded, Notion may suit you better. We cover that setup in our guide to building a swipe file in Notion.

One last point. Study competitor ads for angles and structure, and do not reuse their creatives commercially. This is general guidance, not legal advice.

FAQ

Is Airtable good for an ad swipe file?

Yes, especially if you want to filter and group ads by angle, hook type or format. Airtable combines attachments with structured fields and multiple views, so you can browse creatives and query them in the same base.

What fields should an Airtable ad swipe file have?

Start with advertiser, start date, days running, format, hook, hook type, angle, CTA, primary text, landing page, Ad Library link, creative attachment, tags and a "why saved" note. Use single select fields for anything you want to group by.

Should I store ad videos in Airtable attachments?

For images and a small number of videos, attachments are the simplest choice. For a large video library, store files in cloud storage and keep a link plus a thumbnail in Airtable, since attachment storage is limited by plan.

Can I import Facebook ads into Airtable from a CSV?

Yes. Airtable can create a table from a CSV or import rows into an existing table. Export a CSV of ads, rename the columns to match your fields, map them on import, then tag angle and hook type yourself.

Airtable or Notion for a swipe file?

Airtable suits a swipe file that works mainly as a searchable database with filters, formulas and bulk imports. Notion suits teams who want ads embedded next to briefs and longer notes. Either works if you tag consistently.
